Your photos, and what happens to them
You are trusting us with pictures of the people you love. Here is exactly what we do with them.
The short version
You are sending us photographs of your family. We treat them that way.
Your photographs are used to create and fulfil your portrait. They are kept private. We do not sell them, publish them, or use them in our gallery or advertising without your explicit consent.
What we do with the photos you upload
We use them to create the portrait you asked for, and to make it again if you want a different look or a different size.
Your photographs are not public. We only use a customer's photograph or portrait in our gallery, advertising, or social channels when that customer has given explicit consent.
Where they are kept
Your photographs are sent securely to private storage and trusted processing providers working on our behalf. Preview links expire shortly after they are created, and access is limited to the people and services needed to create and fulfil your portrait.
The people who can see your photographs are the ones who need to in order to fulfil your order — our own team, and, if you have commissioned a hand-painted oil, the artist painting it.
How long we keep them
We keep your photographs and your finished portrait while your order is live and for a reasonable period afterwards, so that we can reprint, re-send a download link, or handle a return without asking you to upload everything again.
If you have questions about retention or want to request deletion, email hello@theheirloomportrait.com. We will explain what we hold and the deletion options available for your order.
Who else is involved
Making and delivering a portrait involves a small number of service providers working on our behalf: portrait processing and private storage, payments, and email. They receive only what they need to provide that service.
Payments are handled through Stripe's secure payment controls and checkout page. Your card details go to Stripe, never to us. We are told only that an order was paid.
What else we collect
If you buy something we hold your order: your email address, what you ordered, and a shipping address for physical pieces. There is no account to create and no password to remember.
We also measure how the site is used, such as which pages are opened and which steps people finish. Customer photographs, portrait previews, names, email addresses, and shipping details are marked as private and excluded from session replay.
Your say
Ask us what we hold about you, ask for a copy, ask us to correct it, or ask us to delete it. Email hello@theheirloomportrait.com and we will reply within 24 hours.
